AI workflow assessment for UK surveyors - HoursBack

AI workflow assessment for UK surveyors - cut the admin between the site visit and the issued report.

Nothing on a surveyor's desk runs late because of the inspection. So the 60 minutes is aimed at everything after it - typing up dictated notes, matching photographs to the schedule, assembling comparable evidence, terms of engagement, the queries that arrive while a report is still in draft. The write-up you get from us names the tool for each job and what setting it up takes, in the order that shortens turnaround fastest.

Sound familiar?

The write-up that starts when the site visit ends.

The inspection is the part you trained for. The write-up is the part that fills the evenings. Every instruction finishes with the same run: dictated notes typed up, a few hundred photographs matched to the right room and the right element, comparable evidence assembled and cross-checked, the standard clauses pulled across from the last report that looked like this one, and a client emailing on day three to ask where it is.

A fixed fee does not stretch to cover that. It is where a practice's margin quietly goes, and it is what makes turnaround slip on the panel work that judges you on it. The next instruction has already come in while all this is happening, and it does not queue politely behind the last one.

Turnaround is the thing you are judged on and the thing you have least control over, so that is where the hour starts: the report run, from the moment the notepad closes to the moment the file does. The plan behind it is ordered by how many days it takes off an instruction, and it names the jobs where nothing needs changing.

What the admin costs

The report and evidence admin that fills a surveyor's week - and what it is worth fixing.

The hours on the sample findings sheet we hand out are an illustrative shape and not a forecast for your practice, which is why no figure for surveying admin appears here either. What you do decides it - a practice weighted to homebuyer reports and building surveys loses time differently to one running panel valuations or quantity surveying. The drains themselves are consistent across the practices we assess: getting site notes into a draft, organising photographs and defect logs, assembling comparable evidence, instruction and engagement admin, and the query inbox that runs alongside all of it.

Instruction by instruction is how the 60 minutes works instead: what happens before a visit, what happens after it, and who picks up the difference. The report ranks what that conversation turns up.

The assessment is £799 - and the hours in it were counted between your own site visits and your own issued reports.

What the assessment does for your practice

Your six biggest time sinks - and what we do about each one.

We map your whole practice in the 60-minute session, then work backwards to the drains worth fixing first. Here is how that lands on the specific admin surveyors feel.

Turning site notes into a report

Dictation, a marked-up schedule and a folder of photographs, turned into a document a client will pay for and a PI insurer would stand behind. We walk a recent instruction with you from notepad to issue and show where a first draft can be built from the notes your surveyors already take.

Photographs and defect schedules

Hundreds of images per inspection, matched to the right room, the right element and the right defect before anyone can write a word. We look at how your photo and schedule workflow runs on site and after it, then point to where the sorting and the first-pass defect log stop being done by hand.

Comparable evidence for valuations

Pulling comparables, checking they are genuinely comparable, and setting the evidence out so it holds up on review. We show which parts of that assembly a system can take on and which it cannot - the opinion of value stays with your RICS-registered valuer, and your report says so about every recommendation that touches it.

Terms of engagement and instruction admin

Scope, fee, assumptions, limitations and the conflict check, retyped for every instruction from the last one that looked similar. We work out how much of that pack can be populated from what the client has already told you, and what genuinely has to be considered fresh each time.

The query inbox while a report is in draft

Clients, agents and lenders asking where the report is, then the follow-up questions once it lands. We pick out the messages that repeat and give you drafts and a workflow for those, so the routine ones get answered without a surveyor stopping mid-write-up.

Closing the file and keeping the record

The file that has to show what you inspected, what you were instructed to do and what you excluded, in a state you could produce years later if anyone asks. We trace how a file gets closed in your practice and flag where the record depends on one person remembering to do something.

What this is - and what it isn’t.

The assessment is a diagnostic and a plan. Within two working days of your call you get a passcode-protected report: the AI and automation opportunities we have found for your practice, named tools with costs and setup time, step-by-step recipes, a prompt library, an impact-versus-effort ranking, and ROI worked out on your real numbers. It is written in plain English so you can act on it - no technical background needed.

It is guidance, not us doing the work for you. If the report flags something worth building - a report-drafting assistant, say - the Custom AI Agent Build is a separate product from £949, scoped case by case. If you would rather implement the report’s quick wins yourself with someone beside you, the Implementation Kickstart (£349, 90 minutes) is there for that. The assessment always comes first.

Common questions

Questions surveyors ask us.

Can AI produce a valuation?
No, and nothing we recommend tries to. A system can gather evidence, lay comparables out in your format and draft the descriptive sections of a report. The opinion of value belongs to the RICS-registered valuer who has been to the property, and the Red Book requires it to stay there. Your report is explicit about which side of that line every recommendation sits on.
We already run report-writing software. Does this replace it?
No - it works alongside it. Whether your practice runs on a dedicated report platform, a case-management system or a set of Word templates refined over twenty years, that stays the record of your instructions and files. The assessment finds the admin that still happens by hand around it: the write-up, the photo sorting, the comparable pack, the query inbox. A set of Word templates you have refined for years counts as your stack, and the report treats it as such.
Does using AI affect our PI cover?
It is a fair question for your broker, and the assessment raises it rather than waving it away. Every setup we recommend keeps a person in the chain: a draft is produced, a surveyor reads it, a surveyor issues it. Nothing we suggest changes who is professionally responsible for a report, and your file should still show that plainly.
Is £799 worth it for a small practice?
A sole practitioner taking a handful of instructions a month may not have enough repeated admin to justify it yet, and we would rather say so on the call than after it. Once there are several surveyors and a report backlog, it is guaranteed: if your report doesn't show at least 5 hours a week worth reclaiming across the practice, the £799 comes straight back.
