What an agent can do
An agent does more than draft documents. A few of the jobs one can take on:
- Answers enquiries that arrive by email or through your website, out of hours too, and hands anything unusual to a person.
- Works through a shared inbox: sorts, labels, sends each message to the right person and drafts replies for the routine ones.
- Chases what's overdue, such as invoices, client documents or signatures, on a schedule, and stops once it arrives.
- Researches a new lead or client before a call and writes a one-page brief.
- Keeps your CRM and job records up to date after calls and emails.
- Sends a morning or Monday briefing: what came in, what's late, what needs a decision.
- Watches for exceptions, such as a missed renewal, a figure out of range or a supplier file in the wrong format, and flags them before they become a problem.
- Runs a multi-step job end to end: takes a request, gathers what's needed from your systems, produces the output and files it.
You decide what it does on its own. Anything client-facing or regulated can wait for a person to approve it, and every run is logged so you can see exactly what it did.

Scoping call
A 30-minute call to lock the agent's job, inputs, outputs, tone and where it's going to live - wherever your work already happens, whether that's a Claude Project, a ChatGPT Project, or Copilot. You share 2-3 example outputs you'd accept.
Build and iterate
Build and test happens in our workspace, using synthetic data and the anonymised samples you supply. Ten business days for a straightforward build; anything larger is confirmed at your scoping call. You sign off the outputs against at least five real inputs before anything ships.
Handover
We deliver it into place - wherever we agreed it would live - send the documentation, and book the 30-minute handover call. From that point, it's yours to run.

A knowledge base loaded with your data
Your documents, templates and samples, loaded and tuned so the agent reads your material the way you would.
Delivered into your own environment
However that platform works - an export file you import yourself in minutes, or an agent set up in an account you control. Either way, it lives in your environment, not inside a HoursBack account, and you own it outright.
Plain-English documentation
Documentation covering what the agent does, what good input looks like, where it needs your judgement, and how to tweak it as your business changes.
A 30-minute handover call
We walk you through the agent on Zoom, run two live tasks together, and answer every setup question while we're on the line.
Sign-off against at least five real inputs
You see the agent's outputs against at least five real inputs and approve them before anything ships.
A 30-day fix window
For 30 days from sign-off we fix anything that doesn't do what we agreed, up to 2 hours per fix, at no charge.

After handover
